Chess Suite / Meetings & governance
Run a meeting and share a page
Prepare an online meeting, use the room controls and capture the discussion.
Prepare the meeting
- Open Events & Meetings and create a meeting. In Agenda, video & minutes, enter the agenda and choose the appropriate meeting format and audience.
- For online or hybrid meetings, review the Video connection and recording settings linked from the meeting editor. Configure the service required by your installation and test access with another participant before the scheduled meeting.
- Check that your plan includes the meeting features you intend to use. Review the published meeting’s audience; the recording and minutes have separate access permissions.
Use the room
- Open the meeting room from the meeting and allow camera or microphone access when you intend to use them. Check the selected devices and use Mute or the camera control as needed.
- Open Participants to review who is present and Chat to exchange messages. Use Share Screen and select the tab, window or screen offered by your browser.
- To show a webpage moving during screen sharing, scroll that webpage in the window or tab being shared. Check with another participant that the intended content is visible, then stop sharing when finished.
Capture decisions and close
- Use Minutes to record decisions, responsible people and next steps. Save the minutes using the room’s save control.
- If recording is configured and your role permits it, tell participants before starting. Administrators and secretaries have recording controls in the supplied workflow. Confirm a recording has saved before closing the session.
- Open recordings & minutes from the meeting or review Meeting Records afterwards. Check that the right people can access the resulting records.
If a room or device fails
- Check browser permissions, the selected device and whether another application is using it. Verify the video connection settings if all participants have trouble joining.
- If sharing shows the wrong content, stop and choose the intended tab or window again. A shared screen only shows what that source actually displays.
